What is exception handling?
Exception handling is the part of an automated process that decides what happens when something does not fit the normal path, such as an invoice with a missing field or a request the system cannot match to a customer.
The simple explanation.
Automations are built for the normal case. Exception handling is the plan for everything else: the invoice with no purchase order number, the WhatsApp photo too blurry to read, the customer name that matches three records, the supplier system that times out. Without a plan these either fail silently, which is the dangerous one, or stop the whole queue. With a plan, the odd case is set aside, labelled with what went wrong, and routed to someone who can settle it.
What a good exception path looks like.
Four things: a clear reason the case was held, all the original context in one place so nobody goes hunting, a named owner or team queue rather than a shared inbox nobody watches, and a way to put the corrected case back into the flow without starting over. Silence is the enemy. An exception nobody is told about becomes a customer complaint two weeks later, which costs far more than the thirty seconds it would have taken to resolve.
Exceptions are your improvement list.
Every exception is telling you something. If a fifth of invoices stall on a missing field, the fix sits upstream with the supplier, not in more manual checking. If the same customer keeps failing to match, the record is a duplicate. Review the exception log monthly and treat the top three causes as the next thing to fix. Handled that way the queue shrinks over time instead of quietly becoming somebody's full-time job.
The Voltade take
We would rather an agent stop and ask than guess. Every agent we build has a defined exception path: the case pauses, the reason is recorded, and a person picks it up with full context. Then we watch what keeps falling out and tighten the workflow around it.
