    What is an API?

    An API is a defined doorway that lets one piece of software ask another for information or ask it to perform an action, without a person copying data between the two.

    What it does for your business.

    An API is the reason you do not have to type the same order into three systems. It is a defined way for one piece of software to ask another for information or to perform an action: fetch this customer, create that order, send this message. When your accounting package and your CRM both have decent APIs, they can be joined so a change in one shows up in the other. Without an API, your options are manual copying or fragile workarounds.

    How it works in practice.

    The vendor publishes a list of available requests and the exact shape of the answer. Your system sends a request over the internet with a credential proving who you are, and gets structured data back in seconds. The published contract is the important part: because the shape is fixed and documented, both sides can be built and maintained independently, and the vendor can improve their product without breaking your connection.

    What to ask before you buy software.

    Ask any vendor three questions. Do you have documented APIs covering the data we would need, and can we see the documentation before signing. What are the rate limits, and does the plan we are buying include API access, because it is often gated to higher tiers. And can we export our full data on the way out. A system with no API becomes an island, and every island in your operations means manual work forever.
