    What is process automation?

    Process automation uses technology to handle repetitive business tasks — data entry, approvals, notifications, document processing — without manual intervention. AI takes it further by handling tasks that require judgment.

    Levels of automation.

    Level 1: Simple triggers (email auto-responders, form submissions → spreadsheet). Level 2: Multi-step workflows (Zapier/Make — when X happens in system A, do Y in system B). Level 3: AI-powered automation (agent reads unstructured input, makes decisions, takes multi-step action across systems). Most businesses are stuck at Level 1-2 because the jump to Level 3 used to require enterprise budgets.

    What can be automated.

    Any process that follows a pattern — even a complex one — is a candidate. The question is whether the pattern is rigid (rule-based automation is enough) or variable (you need AI). Document processing, customer communication, data synchronisation, scheduling, reporting, and approval workflows are all common targets. If your team says "I do the same thing 50 times a day but each one is slightly different," that's a perfect AI automation candidate.

    Getting started.

    Map your current process: who does what, in what order, using which tools. Identify the bottleneck — the step where work queues up. Estimate the time cost. Then evaluate whether the automation is rule-based (use Zapier/Make) or requires intelligence (build an AI agent). Don't automate a bad process — fix it first, then automate the improved version.
