What is OCR?
OCR (Optical Character Recognition) converts images of text — scanned documents, photos of invoices, handwritten forms — into machine-readable data that your systems can process.
How OCR works.
OCR software analyses an image, identifies text patterns, and converts them into digital text. Modern OCR uses AI models that can handle messy inputs — tilted photos, poor lighting, handwriting, multi-language documents. The output is structured data that can be fed into spreadsheets, CRMs, or accounting software.
Business applications.
Invoice processing: photograph an invoice and extract vendor, amount, line items, due date. Receipt management: scan receipts for expense tracking. Document digitisation: convert paper records into searchable digital archives. Form processing: extract data from physical forms (delivery orders, application forms, inspection checklists). The common theme is eliminating manual data entry.
OCR + AI agents.
OCR on its own just extracts text. Combined with an AI agent, it becomes part of a workflow: the agent receives a photo (e.g., a delivery order sent via WhatsApp), uses OCR to extract the data, validates it against your system, creates the record, and confirms with the sender. The OCR is the eyes; the agent is the brain and hands.
