    Email Agent

An email agent that reads, decides, acts, and remembers.

Not a template auto-responder. A working agent inside your inbox — drafting replies, flagging bill surges, chasing quiet threads, and updating your CRM. You set the autonomy level on every capability.

    The loop

Four states, running continuously across your inbox.

Most email tools stop at "draft a reply." A real agent keeps going — reading context, deciding what to do, acting, and remembering what happened so the next thread starts smarter.

    01

    Read

Pulls every inbound thread — shared inboxes, vendor replies, forwarded quotes — and understands what's actually being asked.

    02

    Decide

Classifies, extracts numbers and deadlines, checks against your rules, and chooses the next action.

    03

    Act

Drafts the reply, queues the approval, updates the CRM, or fires the alert — at the autonomy level you set.

    04

    Remember

Keeps vendor history, renewal dates, and prior decisions. Next month's thread starts where last month's ended.

    Capabilities

Six clusters. Pick the ones that actually hurt.

Each cluster turns on independently. Most teams start with one or two, see the time saved, then expand. No big-bang rollouts.

    Classify & Route

Read every thread and send it where it belongs.

Invoice queries land in finance. Spec questions land in ops. Shared inboxes like accounts@ and sales@ stop being a pile — they become a triaged queue.

    Extract & Structure

Turn prose into data without copy-paste.

Vendor emails with PO numbers, unit prices, delivery windows — pulled into clean fields and posted to your CRM or sheet. No staff typing numbers twice.

    Decide & Respond

Accept, reject, or counter — based on your rules.

Supplier proposal comes in under the approved ceiling and above your minimum margin. The agent accepts, replies with the PO, and logs the decision. Outside the rules? It drafts and waits.

    Remind & Re-engage

Follow up on the dates that matter, not when someone remembers.

Quote sent 5 days ago, no reply? Nudge. Contract expires in 30 days? Start the renewal thread. Licence due in 60? Prep the paperwork email to the team.

    Watch & Warn

Catch the expensive stuff before it becomes a surprise.

SP Group bill jumps 22% vs last month. The agent flags it, pulls the usage trend, and drops a summary in your ops channel — before the payment auto-clears.

    Act & Update

    Close the loop end-to-end.

Booking confirmation email arrives → CRM deal moves to Won, delivery date is set, invoice is queued. The human sees the outcome, not the eight steps.

    Autonomy

Execute if you want. Or don't.

Every capability has four levels. Start surfacing-only on day one, move up as you trust it. Finance threads can stay at draft-and-wait forever while renewal nudges run on full-auto. You decide.

    01

    Surface only

    Flags it. You handle it.

    02

    Draft + wait

Drafts the reply. Waits for your review.

    03

    One-click approve

Drafts and queues. You approve. It sends.

    04

    Full auto

Inside rules you set, it sends without asking.

    Singapore playbook

Six threads Singapore operators get every week.

Scenarios we've built the agent to handle — grounded in how F&B, retail, and services operators here actually get emailed. Your version is configured to your rules, contacts, and thresholds.

    Utility bill surge

SP Group invoice for the central kitchen comes in 22% above last month. The agent flags it, attaches the 6-month usage trend, and holds the auto-pay for your ops lead to review.

    Perishable supplier quote

Fresh seafood vendor emails a 48-hour quote for Saturday service. Price is within your approved band — the agent accepts, issues the PO, and blocks the kitchen calendar. Outside the band, it drafts a counter.

    SFA licence renewal

Food establishment licence expires in 60 days. The agent kicks off the renewal thread, collates last year's documents, and emails the operator with a single-click approval to submit.

    MUIS halal audit prep

Audit window opens. The agent pulls the last 12 months of supplier halal certs, flags three that are expiring, and drafts the chaser emails to those vendors.

    Corporate catering RFQ

200-pax corporate lunch request lands in sales@. The agent extracts date, headcount, dietary flags, venue, and drafts a BEO plus an itemised quote for the ops lead to review before sending.

    Supplier contract auto-renew

Packaging contract auto-renews in 45 days. The agent pulls unit-price trends across three comparable vendors, drafts a renegotiation email, and schedules the send for Monday 9am.

    Plugs into your stack

No new inbox to learn. It works where your team already lives.

    Common questions.

Does it actually send emails, or just draft?

Both — you set it per capability. Surface-only, draft-and-wait, one-click-approve, or full-auto inside rules you define during scoping. Most teams start conservatively on anything finance-touching and loosen up once they see how it behaves.

How does it learn our business rules?

We map your rules during scoping — price ceilings, approval thresholds, vendors you trust, dates that matter. The agent reads that rule set plus thread context on every decision. When rules change, we update them together.

What if it misclassifies or makes a wrong call?

Every action is logged with its reasoning and the source thread. On anything not yet fully automated, you see the decision before it lands. Wrong calls become signal — we tune the rules on a tight iteration loop.

    Where is email content stored?

Thread content and extracted fields are stored in Singapore (AWS ap-southeast-1), PDPA-aligned with role-based access and audit logs. We sign DPAs and can walk you through the architecture during scoping.

How is it trained on our inbox without leaking past conversations?

We don't train a model on your emails. The agent uses retrieval — it fetches the specific threads, contacts, and rule entries it needs for the current decision, scoped to the inbox the user is permitted to see. Nothing is mixed into a shared model.

    How is it priced?

Pricing is scoped to your setup after a free scoping session. PSG and AIxDL grants are available for eligible SMEs. We handle the AIxDL application end-to-end. For PSG, we guide you through the application — your company files it directly through the Business Grants Portal. Full tiers and grant details on our pricing page. SMEs are eligible for up to 50% Productivity Solutions Grant (PSG) support for the adoption of Voltade AI solutions, a Pre-Approved Solution under the IMDA SMEs Go Digital programme.
