    Wellness and Spas

An agent that books the appointment and brings the customer back on the protocol's repeat day.

Confirms outside business hours, handles the reschedule, sends the post-treatment follow-up, and brings the customer back when the protocol calls for it. Your receptionist runs the floor.

Works while you're closedHandles WhatsApp, Instagram, webPDPA-aligned, data stored in Singapore

    The loop

Four states, running across every enquiry that lands.

Most booking tools stop at the booking. A real agent keeps going. It reads the request, decides which slot fits, books it, and remembers when to bring the customer back.

    01

    Read

Pulls every enquiry from WhatsApp, Instagram DMs, Messenger, and your booking page. Understands "got something on Sat?" the same way it understands a five-line treatment request.

    02

    Decide

Checks the live calendar for the right therapist, the right room, and the right machine. Cross-references customer history (last visit, treatment course, package balance) before offering slots.

    03

    Act

Books the slot, sends the confirmation with prep instructions, takes the deposit if your policy requires one, and posts the entry to your booking system.

    04

    Remember

Knows when Mrs. Tan finished her last HydraFacial, when the package expires, and that she always rebooks for Saturday morning. The next reminder lands on day 21, not day 30.

    Capabilities

Six clusters. Pick the ones costing you bookings every week.

Each cluster turns on independently. Most spas start with after-hours confirmation and reminders, see the calendar fill, then add the rest.

    After-Hours Confirmation

Catch the booking when the receptionist is asleep.

A customer messages at 11pm Tuesday asking for a Saturday slot. The agent confirms availability against the live calendar, books it, sends pre-treatment instructions, and the customer wakes up to a confirmed slot. No "we'll get back to you tomorrow."

    Smart Slot Suggestion

Offer slots that respect the therapist, the treatment room, the machine, and the licensing window all at once.

A customer wants laser hair removal. The agent only offers slots where the licensed therapist, the treatment room, and the laser machine all line up. No double-booking the room because the booking system only checked the staff calendar.

    Reschedule and Cancellation

Handle the change without losing the slot or the customer.

A customer cancels at 4pm for tomorrow. The agent texts the waitlist with the slot, confirms the first taker, and updates the calendar. The slot fills instead of bleeding revenue.

    Deposit and Package Balance

Take the deposit, track the package, surface the balance.

A customer books a treatment that's part of a 10-session package. The agent checks the balance (3 left), confirms without charging, and flags the remaining count in the confirmation. When the package nears zero, it suggests renewal before the customer asks.

    Reminders and Re-engagement

Bring the customer back on the protocol's actual repeat day.

Mrs. Tan's HydraFacial protocol calls for a 21-day repeat. The agent reminds her on day 18, books the day-21 slot if she's free, and explains the timing in plain language so she knows it's clinical reasoning, not marketing.

    Post-Treatment Follow-Up

Close the loop on care and capture the review.

24 hours after a deep-tissue massage, the agent checks in on soreness and aftercare. 48 hours later, asks for a Google review with a one-tap link. Soreness flags route to your therapist before the customer escalates.

    Autonomy

Confirm if you want. Or hold for the receptionist.

Every capability has four levels. After-hours confirmation can run on full auto for regulars while injectables stay at draft-and-wait forever. You decide where the human stays in the loop.

    01

    Surface only

Replies with available slots. Receptionist confirms manually.

    02

    Draft + wait

Drafts the booking. Waits for receptionist OK before confirming the slot.

    03

    One-click approve

Books the slot, drafts the confirmation, queues for one-click send.

    04

    Full auto

For regulars, returning customers, and off-peak slots inside your rules, the agent confirms, takes the deposit, and locks the calendar without asking.

    Singapore playbook

Six bookings Singapore spas see every week.

Scenarios we've built the agent to handle, grounded in how SG aesthetic clinics, wellness chains, and TCM studios actually get messaged. Your version is configured to your therapist roster, treatment menu, and licensing rules.

    11pm Friday booking surge

A customer messages after a corporate dinner asking for a Sunday massage. The agent confirms before midnight. The customer plans Sunday around it instead of waking up to "we'll get back to you tomorrow."

    MOH-licensed treatment routing

A customer asks for a treatment that requires doctor oversight (e.g., injectables). The agent recognises the category, books only into doctor-supervised slots, and adds the consultation pre-step automatically. No accidentally booking a therapist-only window for a doctor-required service.

    Deposit refund clarity

A customer cancels 36 hours out. The agent applies your deposit policy (refund vs credit vs forfeiture), explains it in plain language, and logs the response in case CASE follows up. Reception sees the trail without reconstructing it from memory.

    Package expiry warning

A 10-session package has 60 days left and 4 sessions unused. The agent prompts the customer to book the next session well inside the expiry window. Renewal conversations happen while the package still feels valuable, before the customer feels short-changed.

    Therapist swap mid-day

The lead therapist calls in sick. The agent reassigns the day's bookings to the available therapist if licensing matches, messages each customer with the change, and flags any treatment that needs the original therapist's certification for reception to call personally.

    Festive period blocking

Chinese New Year, Hari Raya, Deepavali. The agent stops accepting bookings on the closure dates configured in your calendar and offers the next available slot instead of taking and then cancelling.

Plus your custom booking system or POS. For systems without an API, we work directly with your team during scoping.

    Common questions.

Does it work with our existing booking software?

We integrate with WESS, Eber, and most spa management systems used by Singapore operators. For custom systems without an API, we work directly with your team during scoping. The agent sits in front of your booking system rather than replacing it.

How does it know not to book a treatment outside our therapist's licence?

Treatment-to-licence mapping is part of scoping. The agent checks the licensed therapist roster before offering a slot. For treatments requiring MOH-licensed doctors (injectables, certain laser categories), the agent only books into doctor-supervised windows.

What happens if a customer asks something we don't have an answer for?

The agent escalates to your team with the conversation context. It doesn't make up an answer. You see "customer asked X, here's the thread" and reply when you're back at the desk.

How is customer data stored, and what about PDPA?

Customer details and conversation history are stored in Singapore (AWS ap-southeast-1) with PDPA-aligned audit logs and role-based access. We sign DPAs with multi-outlet operators on request.

Can it handle Mandarin, Malay, Singlish, and Tamil customers?

Yes. The agent replies in the language the customer messages in. We tune for Singlish phrasing during scoping so "got slot ah?" gets the same handling as a formal enquiry.

Will it spam our customers with reminders?

Reminder rules are configured per treatment, per customer segment, with hard caps. The agent respects your cadence (and the customer's). If a customer asks to stop, it stops, and that preference carries across every channel.

    How is it priced?

Scoped after a free scoping session. PSG and AIxDL grants are available for eligible SMEs. We handle the AIxDL application end-to-end. For PSG, we guide you through the application — your company files it directly through the Business Grants Portal. Full tiers and grant details on our pricing page.
