From a parent's first message to a booked trial class

For tuition and enrichment centres: Volty answers parents on WhatsApp, asks the routine questions your team would ask, books the trial class from your calendar and follows up with parents who go quiet.

    Updated

A centre's WhatsApp, screen by screen

A parent asks about P5 Maths

Volty asks for the child's level, the subject and the days that suit, and saves each answer as a field on the parent's contact.

A parent asks about P5 Maths on WhatsApp at 9.15pm, Volty asks which days suit the child, and the contact card shows Level P5, Subject Maths and Preferred days Weekday evenings.

    A trial class, booked

Volty offers two trial slots from your centre's Google Calendar as buttons and books the one the parent taps.

Volty offers trial places on Tuesday 14 and Thursday 16 October at 6pm as buttons, and confirms Ethan's trial class for Thursday 16 October at 6pm with Mr Lee.

    A reminder two days before

An automation sends a reminder two days before each trial. When a parent taps Reschedule, the tap comes back to Volty, which offers new slots.

A template reminder of Ethan's trial P5 Maths class on Thursday 16 October at 6pm, with See you there and Reschedule buttons; the parent taps Reschedule and Volty offers two new slots.

    The parents who went quiet

When a parent goes quiet after a trial, Volty sets itself a follow-up for a week later and then writes to the parent in its own words. Once the 24 hour window has closed, the follow-up goes out as an approved template.

Volty's internal note says it will follow up on Friday 23 October about the term fee after Ethan's trial, and the follow-up goes out as an approved template naming Mrs Tan, Ethan and the class.

A term-start broadcast to one level

One approved template, sent once, to one audience. Afterwards, one click turns the people who replied, stayed silent, failed or ignored it into a segment and drafts the next template broadcast to them. Replies come back to the inbox as ordinary conversations.

The broadcast composer with segment P5 (312 contacts) chosen and the template 'Hi {first name}, Term 1 classes for P5 start on 5 January. Reply here to hold a place.' with the fallback 'there', beside three parent replies labelled Interested.

Testing a change before a parent sees it

Your admin tries a new instruction from their own phone on Volty's test number before it reaches a parent, and keeps Volty in draft mode until the team trusts it.

The Sandbox card with the test number and its code for trying Volty from WhatsApp, beside last night's review proposal, a single registration fee for siblings who enrol together, waiting for an admin to Approve or Reject.

What Volty does and what your team does

    Volty

    • Answers parents on WhatsApp, including in the evening.
    • Asks the questions your team would ask and saves the answers on the contact.
    • Books trial classes from your centre's calendar.
    • Reminds parents before each trial and follows up the ones who go quiet.
    • Adds parents who reply to a broadcast with interest to a segment.

    Your team

    • Teaches the trial class.
    • Calls the interested parents and enrols them.
    • Decides fees, discounts and anything else your instructions keep for a person.

    When a person takes over

Volty passes a conversation to someone on your team, and alerts them on WhatsApp. Any reply from your team pauses Volty in that conversation for 30 minutes, and each further reply extends the pause.

    Google Calendar and Volty

    Volty connects to Google Calendar.

    Volty reads

    • your teachers' calendars
    • events and free slots

    Volty writes

    • trial class bookings
    • moved and cancelled bookings

    Secure by default

    • Volty starts in draft mode. Every reply waits for someone on your team to send it, until you choose to let Volty answer on its own.
    • Volty connects only to the systems an admin approves.
    • When someone on your team tells Volty a rule, Volty applies it at once, with a card and a Revert where it was asked. Changes to Volty's written instructions wait for an admin to approve them.
