A workflow is a defined sequence of steps that moves a piece of work from start to finish, such as turning an incoming enquiry into a quotation and then a confirmed order.

## The simple explanation.

A workflow is the path a job takes through your business, written down. An enquiry arrives on WhatsApp, someone checks stock, someone prepares a quotation, the customer approves, an order is raised, the warehouse packs it. Every business already runs workflows, even if nobody has ever drawn them. Writing the steps down turns a habit that lives in one long-serving colleague's head into something the whole team, and later a piece of software, can follow the same way every single time.

## What a workflow is made of.

Most workflows break into four parts: a trigger that starts the work, a set of steps in order, decision points where the path splits, and an end state that says the work is finished. A quotation workflow might branch on order value, going straight out below a threshold and to a manager above it. Naming those branches matters, because the messy real cases, the rush order or the customer with an overdue invoice, are exactly where work stalls.

## Where automation fits.

Once the steps are clear, you can ask which of them still need a person. Looking up stock, copying details into the CRM, sending an acknowledgement and chasing an approval are usually candidates. Judgement calls, pricing exceptions and relationship conversations usually are not. Automating a workflow nobody has mapped tends to make a poor process faster rather than better, so the mapping is not paperwork: it is the part that decides whether the automation saves anyone real time.
