Privacy Policy

This policy sets out the basis on which Voltade Pte. Ltd. of 75 Ayer Rajah Crescent, #01-16, Singapore 139953 (Company Registration Number: 202307668E) (“Voltade” or “we”) collects personal data from you and how we process such data.

By visiting our website https://voltade.com or using any other solutions licensed for use by Voltade and any other applications or software we provide from time to time (collectively our “Software”), including Voltade Envoy (our AI chatbot, CRM and Sales Platform at websites that include but are not limited to https://envoy.voltade.com and https://envoy-crm.voltade.com), you accept and consent to the practices and terms set out below.


1. Collection of Information

1.1. For the purposes outlined in Section 2, we may collect and process the following information:

(a) Information provided by you
Information you provide when subscribing to and/or accessing our Software (including Envoy), which may include information about your clients and any authorised users of the Software. This may include a person’s full name, address, email address, phone number, credit card information, and other personal data provided to us either by submitting through our Software, by corresponding with us through any means, or through messages handled by Envoy.

(b) Information we collect about you automatically

  • Technical information, such as Internet protocol (IP) address, log-in information, demographic data, browser type and version, time zone setting, browser plug-in types and versions, browsing behaviour, operating system, patterns of Software (and its features) usage, usage time, user’s behaviour and platform.
  • Information about your visit and interactions with the Software, including the full URLs, clickstream to, through and from our Software (including date and time), products or pages viewed or searched for, page response times, download errors, length of visits to certain pages and page interaction information (such as scrolling, clicks, and mouse-overs).
  • Envoy-specific data: We may collect and store messages exchanged via messaging channels (Whatsapp, Gmail, Outlook, Instagram, Facebook, Telegram, Voice call, but not limited to these) as facilitated by Envoy. This includes conversation content, chat timestamps, user phone numbers, and other metadata required to process messages through our AI platform and escalate them to human agents if necessary.

(c) Integration platform data
Where our Software connects to third-party platforms (including but not limited to Gmail, Outlook, or similar APIs), we may collect relevant data strictly required to enable requested features. This may include message content, metadata (e.g. sender, recipient, timestamps), contact lists, and labels, used solely to support inbox management, automation, and CRM functionality.


2. Uses Made of the Information

2.1. We use information held about you for the following purposes:

  • Registering and administering your account with us
  • Providing, developing, and improving our services, products, and Software (including Envoy)
  • Presenting content, information, and updates on our Software in the most effective manner for you
  • Processing payment instructions
  • Responding to or taking part in legal proceedings, including but not limited to seeking professional advice from legal or accounting professionals
  • Complying with applicable laws and regulations
  • Communicating with you and responding to your questions or requests

2.2. Envoy-Specific Uses:

  • To facilitate automated conversations between users (e.g., customers, clients) and our AI Sales Platform on all messaging and call channels
  • To analyse and process message content to deliver relevant and timely responses, escalate inquiries to human agents, and maintain conversation histories for quality assurance
  • To generate insights, diagnostics, and analytics on AI performance and user interactions (in aggregate or anonymised forms)

2.3. Data from Integrated Platforms (e.g., email APIs):

Where applicable, any personal or user data obtained through integration with third-party APIs (including those provided by cloud email or productivity platforms) is used solely to deliver user-requested functionality within our Software. This includes enabling inbox search, message replies, contact syncing, and tagging features.

Voltade does not use any data obtained via Google Workspace APIs (e.g., Gmail) to develop, improve, or train general-purpose AI or machine learning models.
All data usage is restricted to the scope authorised by the user and is used only to deliver CRM features such as reading, replying to, or tagging emails.


3. Third-Party Software

Occasionally, our Software or communication with you may include links to third-party software or platforms which we have no control over. This includes, but is not limited to, the Meta platform used by Envoy to send and receive messages, or productivity platforms such as Gmail or Outlook.

We do not endorse nor will we be held responsible for any linked third-party software. If you decide to follow a link to any of these software or use such platforms, please be aware that they have their own policies and practices. We advise you to read their privacy policies and terms to understand your rights and how the use of such software may affect you. We shall not be held responsible or liable for any practices or content of third-party software.


4. Data Sharing and Disclosure

4.1. We keep personal data confidential. However, in order to provide our Software and services to you (including Envoy), we may disclose your information on a need-to-know basis to:

  • Any member of our company
  • Personnel, agents, advisers, auditors, contractors, financial institutions, and other third-party IT and infrastructure providers who are bound by confidentiality obligations
  • Legal, regulatory, or governmental bodies as required under applicable law
  • Professional advisers or acquirers in the event of a merger, sale, or corporate restructuring

4.2. Envoy-Specific Disclosures:

  • Meta, Google, Microsoft, Telegram, and its affiliates or other messaging and voice platforms, as needed to deliver messages
  • Human agents or support staff responsible for providing escalated assistance via Envoy

4.3. Data Obtained via Integrated Platforms (Including Google Workspace APIs):

  • We do not share, transfer, or disclose Google user data to any third parties except:
    • As required by law
    • To provide core product functionality as described (e.g., replying to messages)
    • To our infrastructure providers under strict access controls and confidentiality
  • Google user data is never sold, monetised, or disclosed for marketing purposes
  • No Google Workspace data is used to train general-purpose AI or ML models

5. Data Retention and Deletion

5.1. We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, or as required by applicable law.

5.2. When personal data is no longer needed, we either delete it securely or anonymise it.

5.4. Google Workspace Data:

  • Email content, metadata, or other information obtained via Gmail or Workspace APIs is stored only as long as necessary to support user-requested CRM features
  • If a user disconnects their Gmail integration or revokes access via Google’s security settings, we will stop accessing data and begin deletion procedures
  • You may also request deletion of all retained Google user data at any time. This will be completed within 30 days of the request
  • We do not retain Google Workspace data for use in any AI/ML model training, testing, or improvement purposes

6. Security

  • All information you provide to us will be stored on our secure servers which may be located in any parts of the world, unless explicitly agreed to otherwise
  • Any payment transactions will be encrypted using TLS/SSL technology
  • Where we have given you (or where you have chosen) a password or access key that enables you to access certain parts of the Software, you are responsible for keeping this password or access key confidential
  • We restrict access to personal information to our employees, authorised service providers, and contractors on a strictly need-to-know basis and ensure that those persons are subject to contractual confidentiality obligations
  • Periodically, we will evaluate our procedures for collecting, storing, and processing personal information in order to prevent unauthorised access, processing, or usage, and to ensure adherence to relevant privacy laws and regulations
  • You acknowledge and agree that the transmission of information over the Internet will not be completely secure. Although we will do our best in implementing reasonably suitable measures to protect your personal data, we cannot guarantee the security of your data transmitted to or through our Software (including Envoy)

7. Payment

  • We may provide paid products and/or services within the Software. In that case, we use third-party services for payment processing (e.g. payment processors)
  • We will not store or collect your payment card details. That information is provided directly to our third-party payment processors whose use of your personal information is governed by their Privacy Policy
  • These payment processors adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands like Visa, Mastercard, American Express, and Discover. PCI-DSS requirements help ensure the secure handling of payment information

8. Your Rights

  • You have the right to:

    • Check with us whether we hold personal data about you
    • Access any personal data we hold about you
    • Require us to correct, rectify, and delete your personal data we hold about you
    • Revoke any consent which you have given for the processing of your personal data
  • Any request under this Section can be made by writing to us at team@voltade.com and may be subject to a small administrative fee to meet our cost in processing your request

  • If your data was accessed via an integrated platform (e.g., Google), you may revoke access through your platform’s settings. We will cease access and initiate deletion of that data as described in Section 5


9. Changes to This Privacy Policy

We may amend this policy from time to time by posting the updated policy on our Software. By continuing to use our Software (including Envoy) after the changes come into effect, it means that you agree to be bound by the revised policy.
